Get information off paper and into your systems as work happens.

We replace paper job cards, delivery dockets, inspection sheets and supplier paperwork with scanning, barcodes and simple Power Apps, so the office sees what the floor did without retyping it.

The short answer

How do I get rid of paper job cards and dockets on the shop floor?

Capture the information where it happens, in the simplest form people will actually use: scanning a paper document at a station, scanning a barcode on a job or part, or tapping through a short app on a tablet. AI and matching rules then read the capture, link it to the right job, supplier or PO, and update the ERP.

Where it breaks

Where this usually goes wrong.

  • Paper travels slowly

Job cards, dockets and delivery notes wait in trays until someone types them up.

  • Scans nobody can find

Documents are scanned but filed by date or scanner, not by job, supplier or PO.

  • Scanning matches the wrong record

Basic scanning reads the text but links it to the wrong supplier or order.

  • No live view of the floor

The office learns what happened yesterday, not what is happening now.

How it works

How it works on the Microsoft Power Platform.

01

Capture at the source

Paper is scanned at a station, a barcode or QR code is scanned on the job, or details are entered in a tablet app.

02

Read the document

AI extracts the fields that matter: supplier, PO number, job number, quantities, dates and signatures.

03

Match reliably

Extracted details are matched to your supplier and job records using stable identifiers such as ABN, PO number and phone number, not just names.

04

File it properly

Each document is filed in SharePoint against the job, supplier or PO it belongs to.

05

Update the ERP

Receipts, job progress or quality results are written to the ERP or queued for review.

06

Exceptions and reporting

Anything unmatched goes to a named person, and dashboards show progress and backlog.

Where we start

What a first release looks like.

One document type at one station, such as goods-inwards delivery dockets, with reading, matching and filing. ERP updates and more document types follow.

  • One document type at one capture point
  • Matching on ABN, PO number and job number
  • Automatic filing against the right record
  • A review queue for anything uncertain

From our delivery work

Where we have done this.

Client names are withheld for live engagements unless a case study has been published.

  • Mining engineering fabricator

Supplier paperwork is scanned, read and filed automatically, and the matching now uses ABN and phone number to reduce OCR errors.

  • Furniture and fabrics manufacturer

We are assessing RFID and barcode traceability to improve inventory accuracy.

Questions we get asked

Frequently asked questions.

Barcode, QR or RFID: which should a small manufacturer use?

Start with barcodes or QR codes. They are cheap, work with phones and tablets, and suit most job and part tracking. RFID helps when you need to read many items without line of sight, such as racks or bins, and is worth it once the basic process works.

Can a shop-floor app work without Wi-Fi?

Yes. Power Apps can be built to work offline and sync when the device is back in range.

How accurate is document scanning?

Reading the text is the easy part. Accuracy comes from matching the text to the right record. Matching on stable identifiers such as ABN and PO number, with human review of low-confidence results, is what makes it reliable.

Do we have to stop using paper entirely?

No. Many sites keep paper for some steps and scan it at a station. The goal is that nobody retypes it.

Where this usually connects.

  • Engineering change automation

We automate ECR and ECO processes on the Microsoft Power Platform, so every change is captured once, approved by the right people, and pushed to the systems and teams that need it.

  • Production, inventory and job-cost reporting

We bring ERP, scheduling, CRM and spreadsheet data together in Power BI and Microsoft Fabric, so leaders see true job cost, margin, WIP and stock without waiting for month-end.

  • Customer, dealer and supplier portals

We build secure portals on Microsoft Power Pages that sit on top of your ERP, so customers, dealers and suppliers can check stock, place orders, track status and download documents themselves.
