Send RFQs from the BOM and compare supplier quotes in one place.

We automate the request-for-quote process: building RFQ packs from your BOM, sending them to the right suppliers, collecting responses and turning the chosen quote into a purchase order.

The short answer

How do you automate RFQs to suppliers?

Start from the BOM or requisition, not a blank email. The workflow groups parts by supplier category, attaches the right drawings, sends each supplier a structured request, captures their responses in one register, and lets the buyer compare price, lead time and terms side by side before raising the PO.

Where it breaks

Where this usually goes wrong.

  • RFQs built by hand

Buyers copy parts from a BOM export into emails and attach drawings one supplier at a time.

  • Responses scattered across inboxes

Supplier quotes arrive in different formats and different inboxes, with no single record.

  • Comparison is a spreadsheet

Comparing price, lead time and freight means rebuilding a spreadsheet for every job.

  • The PO is retyped

The winning quote is retyped into the ERP as a purchase order, and the link back to the RFQ is lost.

How it works

How it works on the Microsoft Power Platform.

01

Start from the BOM

A BOM export or ERP requisition becomes the RFQ, with parts grouped by supplier category.

02

Build the RFQ pack

Drawings and specifications are attached automatically from SharePoint or your PDM vault.

03

Send to approved suppliers

Each supplier receives a structured request with a response template and a due date.

04

Capture responses

Replies, including PDF quotes, are read and recorded against each line in one register.

05

Compare and choose

Buyers compare price, lead time and terms side by side in a Power Apps screen.

06

Raise the PO

The chosen quote becomes a purchase order in the ERP, linked back to the RFQ for audit and invoice matching.

Where we start

What a first release looks like.

One commodity or supplier category, RFQs built from a BOM export, responses captured in a single register and compared side by side. Purchase order creation in the ERP follows.

  • RFQ packs generated from a BOM export
  • Supplier responses captured in one register
  • Side-by-side comparison of price and lead time
  • Full history of who was asked and what they quoted

From our delivery work

Where we have done this.

Client names are withheld for live engagements unless a case study has been published.

  • Automation equipment builder

We are designing RFQ automation on Dataverse and Power Apps that turns BOM exports into supplier requests and tracks and compares supplier quotes.

  • Industrial manufacturer on MYOB Acumatica

We are scoping RFQ preparation and part-file gathering alongside AP invoice matching.

Questions we get asked

Frequently asked questions.

Can suppliers reply without logging into a portal?

Yes. Most suppliers reply by email. The workflow reads their reply or attachment and records it, so suppliers do not need to adopt anything new. A supplier portal can be added later.

How do we compare supplier quotes fairly?

Put them on the same basis first: the same units and currency, with freight and lead time included. The comparison screen does that automatically and highlights the best value, not just the lowest price.

Does this connect to accounts payable?

Yes. Because the purchase order is linked to the RFQ and the chosen quote, invoice matching can check the invoice price against what the supplier quoted, not just against the PO.

Which ERP systems does this work with?

Any ERP with an API or import for purchase orders, including MYOB Acumatica, Dynamics 365, SAP, Epicor and MYOB EXO.

  • CAD and PLM to ERP integration

We connect CAD and PLM systems such as SolidWorks, Inventor, Windchill and Creo to your ERP, so released BOMs, part numbers and drawings reach purchasing and production automatically.

  • Customer, dealer and supplier portals

We build secure portals on Microsoft Power Pages that sit on top of your ERP, so customers, dealers and suppliers can check stock, place orders, track status and download documents themselves.

  • Production, inventory and job-cost reporting

We bring ERP, scheduling, CRM and spreadsheet data together in Power BI and Microsoft Fabric, so leaders see true job cost, margin, WIP and stock without waiting for month-end.
