Microsoft Fabric vs Power BI: which does your business need?

It is the question we are asked most in discovery calls. The short version: Fabric is not a replacement for Power BI. It is the platform Power BI can sit on when your data outgrows it.

Short answer

What is the difference between Microsoft Fabric and Power BI?

Power BI is a reporting tool. It connects to your data, models it and publishes dashboards. Microsoft Fabric is a complete data platform that includes Power BI, plus data pipelines, a data lake called OneLake, lakehouse and warehouse engines, and built-in AI, all on one shared capacity.

If you have one main system and a handful of reports, Power BI on its own is usually enough. If you need to combine several systems, entities or currencies, keep years of history, or put AI on top of your data, Fabric is usually the better foundation.

Stay with Power BI

When Power BI on its own is enough

  • Your reporting comes mainly from one system, such as your ERP
  • A few people build reports and everyone viewing them already has a Pro licence
  • Refreshes run reliably and finish in reasonable time
  • You do not need to combine companies, regions or currencies
  • Nobody is asking to put AI on top of company data yet

Move to Fabric

Signs it is time to move up

  • Finance exports from several systems or entities into Excel every month
  • Different reports show different numbers for the same measure
  • Refreshes are slow or failing as data grows
  • You want true job or product margin, which needs ERP, production and timesheet data joined
  • Leadership wants to ask questions of the data in plain English
  • You are paying for Power BI Premium capacity, which Microsoft is moving to Fabric

The middle path

You do not have to choose all at once

Most of our clients start with Power BI and move to Fabric when one of the signs above appears. Because Fabric includes Power BI, existing reports keep working; they simply start reading from a better-prepared copy of the data.

A small Fabric capacity such as F2 is enough to build a lakehouse for one ERP and prove the approach. You can scale up later, and pay-as-you-go capacity can be paused when it is not needed.

From our delivery work

What this looks like in practice

For one furniture and fabrics manufacturer, Power BI alone could not combine Australian, US and European ERP data with consistent currency conversion. We moved them to a Fabric lakehouse that loads all three regions overnight, converts currency using RBA rates, and feeds the same Power BI reports their team already used.

Questions we get asked

Frequently asked questions.

Is Microsoft Fabric replacing Power BI?

No. Power BI is part of Fabric. Your reports and dashboards stay in Power BI; Fabric adds the data platform underneath them.

Do we still need Power BI Pro licences with Fabric?

Yes, for anyone who creates or publishes Power BI content. On capacities below F64, people who only view reports also need a Pro licence. From F64 upwards, viewers can use a free licence.

Can we move from Power BI to Fabric without rebuilding our reports?

Usually, yes. Existing reports can be repointed to models built on the Fabric lakehouse. Some reports are worth simplifying at the same time, because much of their data preparation moves into the lakehouse.

Is Fabric more expensive than Power BI?

It adds a capacity cost on top of Pro licences, so for a small team with one system it usually is. For businesses that are already paying in staff time to consolidate data by hand, or paying for Premium capacity, Fabric often costs less overall.
